We are committed to respecting your privacy and holding your data correctly, in line with the EU General Data Protection Regulation, as enforced on May 25th 2018. Please take time to review this privacy policy carefully.

This policy is drafted in accordance with the EU General Data Protection Regulation. We actively monitor current data regulation and update our data policy where necessary.

What data we collect

  • Personal information: we hold the minimum amount of personal information required to provide you with an effective service. This might include: name, email, phone, address, job title, organisation name, details of any disability so that workshops and venues can be tailored to be accessible to all.

  • Non-Personal information: this is collected by cookies on our website so that we can analyse usage and page preferences to understand how visitors use our site and analyse where we can make improvements. The data is held in your browser. These cookies do not store any personally identifiable information. 

How we collect personal data

  • ​Through our website using our mailing list, hosted by the data processor MailChimp

  • Through direct contact via email, telephone, online forms, social media or in person 

  • Through non-personal information collected by our website (explained further below)

  • For employees, through contracts of employment and through a DBS checking service (currently Mayflower Disclosure Services)

  • To keep you informed about Learning Through Theatre’s news, events, performances and training opportunities. From time to time we also share information about our affiliate companies, practitioners and other organisations that believe will be of interest to you.

  • To request your feedback on services provided so that we can ensure we are always improving and delivering the best services to you. 

  • To carry out safeguarding employee checks and to safeguard employees in the workplace.

Your rights

  • You have the right to be informed about the data we hold on you, you have the right to see this data, the right to rectify it and the right to have it erased from our records at any time, without cost or explanation.

Sharing your information  

  • We will never share your personal information with third parties for marketing purposes. 

  • We will only use your personal information for marketing to you with your consent. If you do not consent to us using your information for marketing to you, please let us know by email info@learningthroughtheatre.co.uk or by opting out via the ‘unsubscribe’ option that is always available at the bottom of any mailing list mail out. 

  • Your non-personal data (as defined below) is accessed by Google web analytics as a data processing service for the purpose of continually improving our website. Google have no access to your personal information and Google will not associate your IP address with any other data held by Google or affiliate organisations.  

  • If in the future we were to merge with or be acquired by another business, we would share the information that relates to you. You will be sent notice of such an event where required by applicable laws. We reserve the right to disclose your personal data in order to comply with the law, applicable regulations and government requests.

 Data storage

  • All data is stored on password protected systems, provided by Dropbox and iCloud.

  • If you are, or have been, a recent customer of ours then we will continue to hold your data as a legitimate business interest for as long as the engagement agreement between us exists and for a reasonable period of time afterwards, as required under law. Your legal rights can be called into effect any time

  • If you are, or have been, contracted as an employee of ours then we will continue to hold your data for as long as you are employed by us and for a reasonable period of time afterwards, as required under employment law. Our DBS Information Policy: Secure storage, handling, use, retention & disposal of disclosures and disclosure information should be read alongside this policy. Your legal rights can be called into effect at any time.

  • Any data that no longer needs to be held by us for a legitimate reason will be securely and completely destroyed.

  • By reading this document and continuing to discuss how our services can meet your needs, you consent to us using your personal information in this way for the provision of an estimate or quote, the purchase of products or services and to administrate or carry out our obligations for any agreement you have with us. 

Mailing List

  • Our mailing list is powered by MailChimp. You either sign up directly via our website or by asking to join by email, on a feedback form, on social media links or in person. 

  • We collect the minimum necessary information to provide you with the service you need: your first name, last name, email address and sometimes organisation and phone number, so that we can send you emails about events and workshops. 

  • We keep a record within MailChimp of when you signed up to our mailing list so that in 5 years after the sign-up date we can contact you and check if you still want to receive updates from us.

  • You can register yourself to this mailing list and give the necessary permissions. 

  • You have the right to unsubscribe and have your data removed at any time. The unsubscribe link appears at the bottom of every mail out or you can request to be removed by emailing us here: info@learningthroughtheatre.co.uk

Cookies

Cookies are small text files that are used to store small pieces of information. They do not store any personally identifiable information. They are stored on your device when the website is loaded on your browser. Cookies cannot look into your computer and obtain information about you or your family or read any material kept on your hard drive and cookies cannot be used to identify who you are.

Essential:

Some cookies are necessary for the website to function. They can not be switched off in our systems. These are used by our web host, Squarespace. You can check what cookies Squarespace uses by clicking here.

Statistics:

These cookies do not store any personally identifiable information. Non-identifiable data includes, visits, pages viewed, time on site, and the journey you take through the site. This data helps us understand and analyse how well the website performs and where it needs improvement. We use Google Analytics for this. Marketing:

Our website does not display advertisements that use cookies, however on some pages videos are embedded from third-party platforms, such as YouTube. Third-parties use cookies to personalise any advertisements to be meaningful to you. Third parties e.g. YouTube and Vimeo, may also use cookies, over which we have no control.

Functional:

These are the cookies that help certain non-essential functionalities on our website. These functionalities include embedding content like videos.

How can I control the cookie preferences?

Different browsers provide different methods to block and delete cookies used by websites. You can change the settings of your browser to block/delete the cookies by going to preferences and privacy in your browser menu.

Online Learning Platforms

  • ​There are times when teaching will take place via online learning platforms (e.g. Zoom). We are very conscious of our responsibilities in relation to sharing your personal data via the internet: 

    • No students under 13 years will be admitted without formal parental consent and supervision to online learning platforms.  

    • Maximum security will be used for all meetings (password protected, waiting room protocol, locked meetings) to avoid uninvited intrusions.

    • Screen sharing and chat will be restricted by the host.

    • User’s IP address, OS and device details are used by Zoom to deliver the best possible Zoom experience. You can view the privacy statement for Zoom here: https://zoom.us/privacy   

    • Images, videos or audio are all considered “personal information” under GDPR rules. Some online meetings may be recorded with your consent. You have the right to retract your consent for us to use your image and you can request to have your image deleted at any time.

      • Where children (those under 18) are involved in meetings, all sessions will be recorded solely for safeguarding purposes; where no dispute arises these recordings will be deleted as soon as is reasonably possible.

      • Where meetings with adults are recorded, an onscreen consent will appear that you can choose to accept or deny. Recordings are made so that:

        • participants can catch up on missed sections of learning;

        • customers who can not attend the live sessions, can watch them online;

        • promotional photographs or clips can created for promotion of future workshops.

      • These recordings will be deleted one month after the date of the original session, unless your explicit consent is received to use your image for promotional purposes.

    • Where your consent to record has been received by the meeting host, images and videos recorded are stored in our iCloud storage after the meeting has ended; these recordings are password-protected and stored as encrypted files. From here, the videos will be uploaded to Vimeo where they are password protected. Where we, as the meeting host, authorise others to access the recording, they will have only the ability to view - the ability to share and download will be disabled.

Third-Party websites

  • We work with some third party websites that act as data processors or ‘stewards’: 

    • MailChimp process data for our mailing list. Activities performed are data collection via sign-up forms; storage of personal data within our password secure MailChimp account in order to allow us to create and use distribution lists, send marketing email campaigns; the transfer of personal data to certain of MailChimp’s sub-processors who perform critical services, to help prevent abuse and providing support to MailChimp customers.     • Other third parties provide essential support services: Wave for invoicing, Dropbox for data storage, Zoom for online meetings and cloud storage, Vimeo for video storage, PayPal for payments, Google Analytics for web behaviour analytics, Mayflower Disclosure Services for Disclosure and Barring Service checks on employees.   • From time to time we work directly with third party organisations to host or organise workshops or other events that Learning Through Theatre facilitate. We are not directly responsible for the privacy policies or practices of these third party organisations however we do require them to provide us with evidence of being GDPR compliant. Prior to any workshop, we request only reasonable and relevant personal information to enable us to plan and prepare workshops that are accessible to all and that will meet expectations.

  • Our website contains suggested links to other websites for further research. We are not responsible for the privacy policies or practices of these third party websites.

Security

  • We have implemented technology and policies to safeguard your privacy from unauthorised access and improper use and will continue to update these measures as new technology becomes available.

Changes to this policy

  • From time to time we make changes to this privacy policy. Please check this privacy policy regularly for any changes.
